You can view and choose to use one of our built-in theme designs or, as this guide explains, you can create your own custom theme. 


Creating a basic invoice theme allows you to change invoice PDF settings on the Theme settings tab; change names of headings on the invoice PDF on the Labels tab; change font, colours and margins on the Styling tab. Any changes you make can be viewed on the Preview tab. You can also create an advanced invoice theme which allows you to modify the CSS.


How to create an advanced invoice theme


You can choose which theme to use as the default on the invoice themes menu. When you create a new invoice, the default theme is automatically selected. 


How to create an invoice

Step 1.


Navigate to the Settings > Configure system > Invoice themes menu and click on the Create Invoice theme button.


Step 2.


Under the Theme settings tab, enter a theme name.



Add a logo by clicking on the Upload a new logo button. Only jpg, png, gif, jpeg are allowed.



Select any appropriate settings regarding your own organisation.



Enter any appropriate messages that you would like to appear on the payslip of the invoice.


The invoice payment text the only field that is not dynamic. If you change the information here or create a new invoice theme and apply to existing invoices, the invoice payment text on any existing unpaid invoices will not be updated. You must edit the existing invoice and update any information in the 'invoice payment text field'. 




Select any appropriate settings regarding the customer you are addressing.


Choose to show or hide elements of a line item on the invoice.



Add a watermark on paid invoices and enable PDF protection if required.


Step 3.


Click on the Labels link and amend any document headings from their defaults.  Note that this will apply to any document created with this theme, i.e. not just invoices.


Step 4.


Click the Styling tab and ensure the Basic styling editor is chosen by default. Edit the styling of the theme by using the menu options. For colour selection, a colour select dialogue box will pop up allowing you to visually select colours.


Step 5.


Click the Preview tab to see what your invoice will look like. You can use the Resize logo radio button to change the size of the logo in the document (use the arrows around the edge of the logo).


Step 6.


Once the design is completed, click the Save theme button at the bottom of the page.
